Administrative Assistant
The Administrative Assistant shall develop an understanding of quality client service in the financial Industry. A successful Administrative Assistant will perform a wide range of administrative and office support activities for the team, to facilitate the efficient operation of the practice.
- Prepare all appropriate files for daily appointments
- Conduct Meeting Prep to inform Advisor of any meaningful information. This often means having appropriate paperwork ready for daily meetings.
- Running Morningstar and Compass reports
- Follow the in-place system of tracking activities/tasks to ensure appointments are completed and errors are eliminated.
- Maintain all client files.
- Answer, screen and transfer inbound phone calls
- Answer and vet incoming phone calls to advisors. Answer questions that are appropriate and help problem solve on the fly.
- Follow Phone Scripts when necessary
- Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
- Handle requests for information and data
- Prepare and modify documents including correspondence, reports, drafts, memos, and emails
- Schedule and coordinate meetings, and appointments
- Adding appointments into Outlook and CRM system
- The ability to work without direction
- Open, sort and distribute mail.
- Maintain office supply inventories
- Maintain and input client notes into CRM (Redtail)
- Responsible for making sure all checks get appropriately processed.
- Provide back up to the Advisor Associate
